I.         CALL TO ORDER:  President Mary Romo called the meeting to order at 4:33 p.m.

II.        WELCOME NEW MEMBERS:  Tari and Jack Briscoe were present as new members.

III.       WELCOME GUESTS:  No guests were present.

IV.       MEMBERS PRESENT:  42 club members were present.

V.        PREVIOUS MEETING MINUTES:  The February 9, 2023 minutes were moved for approval by Cheryl Bisson, seconded by Mike Romo.  Motion passed.

VI.       REPORTS:

A.        Treasurer’s Report (Maureen Williams):  Maureen reported on the financials for February that were recently posted to the website and sent to the membership.  Maureen has filed the necessary tax filings for the club.  A motion to accept the report was made by Marlow Skar and seconded by Cheryl Bisson.  Motion passed.

B.        Membership Report (Maggie Giuliani):  Maggie was not available but Sharon Skar reported for her.  There are four new members for 2023, and 55 household members.

C.        Social Chair Report (Vicki White):  Vicki advised that a Luau themed party is planned for May 13, 2023.    She requested input for catering choices; the group delegated the decision to Vicki.

D.        Sunshine Report (Position Vacant): Mary Romo is still filling in as the Sunshine Chair until someone else volunteers to handle this assignment.  The duties mostly involve sending out cards to club members. Mary has sent get well cards to George Halpert and Margie Housley this month.  The group sang Happy Birthday to Cara Roberts, today is her birthday!

E.         Historian Report (Ron Darville):  Ron Darville was present and brought pictures of the recent rallies.  Please send pictures to him to add to the picture boards he prepares and to be posted on the website.  Mary Romo encouraged members to submit photos so that anyone looking at our website can see how much fun our group has on rallies!

VII.     VICE PRESIDENT REPORT (Cara Roberts/Roy Deeble):  Cara asked each wagon master to provide a brief description of their rally.

RALLIES FOR 2023 (see attachment):

A.        March 31 – April 3:  Wagon masters are Robyn Kain and Janet Phillips; assistants are Vicki and Coleman White.  Rally will be held at Flag City, Lodi for 3 nights; the main event is the Lodi Wine Festival held at the fairgrounds.  Spots are still open for this rally.   A sausage fest will also be included as there is a locally famed sausage and meat market in a nearby that makes the best tasting sausages in the region.  Activities including going to a regional park on Sunday that has historical buildings and a guided docent tour is being arranged.  A restaurant will be selected for the evening get together.

B.        April 3rd – April 7th:  Rally for 4 nights at the 49er RV Park in Plymouth.  Sharon and Marlowe Skar are the Wagon masters and Robyn Kain/Janet Phillips are the assistants.  The rally is full at this time but Sharon encouraged others to submit a wait list request as cancellations often occur at the last minute.

C.        June 11 – 16:   Rally to be held at Black Oaks Casino RV Park in Tuolumne, CA.  The Wagon masters are Craig and Mary Carbrey; the assistants are Lenny and Lana Venturi.  Mary reviewed rally activities that include pot lucks and bbq, golf, Columbia State Park with a docent, wine tasting and shopping in Murphys, docent tour at Calvaras Big Trees State Park.

D.        July 16 - 21:  Rally to be held at Diamond Lake Resort RV Park in Diamond Lake, Oregon. This is near Crater Lake.  Wagon masters are Steve and Ann Beede, assistants are Steve and Patty Holderfield.  Diamond Lake is a very pretty location with all types of boating activities including kayacks and stand up boards, fishing is also available.  The rally is full right now but Steve encouraged others interested to contact him to be put on the wait list.

E.         July 21 - 26:  Rally to be held in at the Klamath Ranch Resort/Blue Heron RV Park in Oregon.  Wagon masters are Steve and Ann Beede, assistants are Al and Maggie Giuliani.  Steve indicated this is also a very nice site for the rally about 40 miles from the Diamond Lake rally held just prior to this rally.  Rally activities are in the planning stage.

F.         September 22 – 26:  Rally to be held at the Gilroy Garlic USA RV Park.    Primary Wagon master is Bill and Cheryl Bisson, assistants are Cara and Eric Roberts. The Casa de Fruita Renaissance Fair is expected to be the main attraction however the fair has not yet posted their dates.  In the event the fair is not scheduled during our time there, other activities could include visiting Pinnacles National Park, Mission San Juan Batista, as well as shopping at the Gilroy Outlets.  Spots are open for this rally.

G.        September 26th to October 1st:  Rally to be held at Moss Landing KOA Park in Moss Landing, CA.  Primary Wagon masters are Cara and Eric Roberts, Leeann Carli is the assistant wagon master. This rally site is located right next to the ocean and is a really great location.  The deadline is sign up is March 15th – sign up now as spots are filling up.

H.        November 12 -17th:  Newport Dunes RV Resort at Newport Beach.  The Wagon masters are Roy Deeble and Elena Shroyer; the assistants are Al and Maggie Giuliani.  The rally application was sent to the membership this week. This a nice older park that Roy has stayed at many times, located along a bay next to the Pacific Ocean.  The spaces assigned to our group are 25’ x 40’ so if your rig is approaching the maximum length, you will need to get an alternate longer space within the park.  There is much to do at this location.  Roy encouraged those with bikes to be sure to bring them as there are very nice bike trails.  This time of year is very nice as well as it is not nearly as crowded as in the summer months.  We need to book a minimum of 9 sites to keep our reduced rate at $56/night, which is well less than the normal $80+ typical rate.

I. December 28, 2023 – January 3, 2024. This rally will be held at Bonelli Bluffs RV Resort in San Dimas, CA.  The highlight of this trip is the Tournament of Roses parade held in Pasadena.  The RV resort is a large facility that is the host site for many RV tour company packages for the Tournament of Roses event.  There are several pre-parade activities such as seeing the horses, the bands, and the floats possibly including helping to decorate some.  Steve is working out the details and costs for all the activities including transportation and from the parade and reserved seating for the parade.  There are no cancellation penalties at the RV park as this event is so popular there is no concern that the park will not be able to fill up all spots.

J.          September 20, 2024 – October 11, 2024.  The highlight of this rally will be attending the Albuquerque Balloon Festival.  The wagon masters are Patty and Steve Holderfield, assistants are Ron and Linda Hartman.  The rally is planned to leave on September 20, 2024 and travel through Zion, Bryce Canyon and the Grand Canyon National Parks before arriving for the balloon festival.  Rally planning is underway and the application will be forwarded to the membership soon.  Members can elect to travel directly to the balloon site instead of taking the route through the national parks.

IX.       UNFINISHED BUSINESS

  • AED/CPR:  Mary Romo reminded the group that April 17th is the date to sign up for the May 10th AED/CPR class.  Be sure to sign up right away as the classes tend to fill up.
  • 2023 Club Expo:  The Sun City Club Expo will be held on March 21, 2023 to feature the various clubs within Sun City.  This year our club will feature select RV’s to be displayed in the parking lot so that people can come and see the different types of RV’s that club members have and hopefully encourage new members.  We plan to set up the RV’s as though we are camping and have the fire pits and BBQ’s set up, and have club members hanging around in their chairs.  Mary encouraged club members to join in so that we attract attention and generate visitors.  We have a Class A, B, and C rigs already selected and a couple of travel trailers.  We still need a 5th wheel trailer so if you are interested in displaying yours, please contact Mary.
  • Website/Group Emails:  Robyn Kain reported on the progress of updating the club website.  The original developer of the website has been located and is assisting Robyn and Marsha Richardson (former member who helped develop the website) to become more knowledgeable about the website features and how to update and modify portions of the website.  Good progress has been made; the current Treasurer’s Report is now posted, the minutes and agenda are up to date, 2023 rally information is posted, and the software was updated.  The website is still a work in progress and more will be accomplished soon.  Additionally, Robyn and Marsha will discuss website security with the consultant to protect club members’ personal information; the roster was removed due to hacking in the past (even though it was password protected), but it would be convenient to have it back within the website for easier access.

As the webmaster for the club, Robyn sends out group emails to the club members at the request of club members.  These include RV items for sale, general RV information, rally applications, etc.  Robyn requested that members be sure to type up their posting completely as Robyn is not responsible for drafting up club member messages.  The message must include the club member’s contact information so that anyone desiring more information can contact that club member directly rather than being routed through Robyn.  If all the information is contained in the message when sent to Robyn, she can send it out quickly instead of asking for the message to be more fully completed.

X.        NEW BUSINESS

A.  March 15, 2023 is the New Resident Orientation session to welcome new residents Sun City Lincoln Hills.  Mary Romo submitted an application to have an information table at the lobby outside of the orientation. She will know on March 10 if our group is selected to have a table in the lobby.  If we are selected, she is seeking volunteers to staff the table and talk with interested new residents about our club and what we do.  Set up will be at 2:45 p.m. and will last about 90 minutes.  If you can help Mary with this, please contact her.

B.  Discussion on establishing a Retired RV Membership:  Mary Romo explained that over time, club members eventually retire from the club when they no longer are interested or able to manage owning and maintaining an RV, eventually selling their rig.  However, these members have made many friendships which they desire to stay in contact with.  The Board discussed this issue and recommend the development of a “social” membership with reduced dues so that social members can stay in contact with the club.  They could come to rallies at RV parks that have cabins or trailers for rent, and also come to our social events such as the Holiday dinner and Spring Fling.  It was mentioned that past members had been invited to our social events but somehow that has not been continued in the past few years.  Robyn Kain mentioned that the only mailing list she has is for the current club members.  Sharon Skar indicated she was working on a former club member list.  If a social membership is established, then that would create a member roster of those persons so that they are included on club communications.  Mary Romo asked for a show of hands for interest in creating this type of membership; a large majority of the group supported this concept.  The Board will continue working on this and bring back a proposal for the club to approve.

XI.       CELEBRATIONS:  The club wished Cara Roberts a happy birthday.

XI.       OPEN COMMENTS:  Steve Beede mentioned that the hard drive to his computer had recently failed.  ALL of the files and information on the hard drive was lost.  After installing a new hard drive, he went to a website he had enrolled into some time ago called “Back Blaze” which automatically backs up your computer files to a remote location.  He was able to log into his account and discovered all his files had been backed up by the website just the day before his hard drive failed.  With great relief, Steve was able to restore his computer files.  He recommended club members investigate this type of service for your computer security and safety.

XII.     ADJOURNMENT:  A motion was made by Marlowe Skar, seconded by John Aimar, to adjourn the meeting.
